Shouldn’t be putting on on teachers, so we really need to safeguard.

As I said earlier, that the student and family data that we’re collecting and then really having a paper trail of that those trans.

I’m also making the time to track down parents for whatever reason.

We all know, and I’ve been guilty of it as a parent as well as not getting things sent back in a timely manner and getting a phone call or an email from that.

My sons teacher saying, can you please send in this paper and really sometimes I don’t know where it is.

It could be crumpled up in the bottom of the backpack, which a lot of times.

It is, but at the same time you kind of feel a responsibility as a parent in getting these things in on time in order to have some agency with the school.

Also, saving forms for shredding takes time and really understanding what the district policies are, whether it’s a you know, state policy or provincial policy within Canada about saving student data, is that something that needs to be considered with permission click?

It can be saved as long as you need.

Having a pile of paper or a room full of paper that you’re having to hang onto for 789 ten years.

And really, one of the things we hear from teachers is a lot is just having this information at your fingertips.

So I went on a field trip pre pandemic. My son’s kindergarten class to the pumpkin patch and the teacher was walking around the big file folder full of permission slips and information, emergency contact information and really.

She could have had all of that on her cell phone and easily looked things up.

And you know, the mobile responsiveness of permission.

Another thing that we hear from educators is that you know really ensuring that the information that that’s being shared out to parents is up to date and that any last minute changes can be communicated, communicated out quickly.

We do know that you know last minute things happen all the time.

We never want to to have students excluded from that activity.

Because the consent hadn’t come in from the parents.

A teacher can ping apparent through permission click.

They can fill out the form quickly, provide the consent and that child can be included in the field trip.

So it’s those types of situations and scenarios that that we see that really drive what we do.

And lastly, this is the biggest one that we hear a lot.

And it’s the biggest culprit of exhaustion.

It’s chasing paper, managing paper, keeping records of paper based forms.

So really, it’s it’s our hope coming out of today’s session that you’ll leave curious and wanting to learn more about permission.

So I am the executive assistant with the Lethbridge School Division. Our division is about 25 schools. We’ve got about 1100 staff that I would say the majority of those are using Permission Corp.

Now that we have got everything up and going and then we have 12,000 students as well that we manage.

So in order to guide our conversation today, we prepared some questions for you.

OK, so the first question we have for you today.

Christine is you know what drove you and the school division initially to transform field trip forms and processes.

From what you were currently doing or what you were doing to what you’re currently doing now.

Yeah, honestly, it’s exactly what you’ve already highlighted earlier on.

We heard again and again from our teachers and from our administrators because of the amount of.

00:06:59 Speaker 3

Papers that they needed to review, sign, approve, make sure that everything of the packages that were needed for getting any school, any teachers class onto a field trip.

A lot of these teachers ended up.

00:07:14 Speaker 3

Using more time, pulling together the administration for it than actually doing it, and when you look at what teachers desire, what they want, why they’re there.

It really was.

Siri is what we found and and by the time I came into this position and we started talking about changing it all to online.

Luckily, we already had Emily kind of on board with our team.

Some of our team was familiar with her and we actually had, I think about one school that used permission click exclusively and then we had a couple of other.

High schools that had used it to familiarize themselves, and so we found, especially with COVID that it was the perfect time for us to transition everything from paper.

Into digital I mean that is where the world is going.

It really everything from assistance out of school to the teachers and to all of the support staff, to the principals and vice principals and those for approving field trips as well as the parents like for us to take the amount of time that it took.

For all of them to complete all of that, all of the interoffice ING of all the forms back and forth between all of our schools.

And to create into one process that maximized everybody time relieved a lot of stress.

To be very honest and created a user friendly ability for all of our parents and all of our teachers.

All of our all of our stuff.

I’m just going to loop them all in one ’cause that’s what it’s done in.

Into creating one process is what is what got us going there?

That is the way of the future and and I, in my position really care about our staff and I really want for them to do what they do best.

And so that’s kind of what drove us there.

Yeah, it sounds like you’ve highlighted some of the goals as well there, so maybe we’ll skip over to kind of how the process works today, like who has access, who’s building.

Those sorts of things.

So essentially what happened was we began last fall to switch everything over and luckily with COVID we had the time and the energy to do that because we actually weren’t conducting field trips and so we spent.

Really, Emily worked with me and with our internal team to do a bunch of training for me.

00:09:38 Speaker 3

Get me up to speed and then we just started building forms.

00:09:41 Speaker 3

All of our paper forms turned into electronic forms and she was fantastic with helping us with those.

As I learned everything and then we just bundled them all together, did a bunch of testing with teachers.

Created tutorials that we threw up on our internal portal that everyone can access.

00:09:59 Speaker 3

Did a bunch of messaging and then we just started training so we did the administrator training.

Made sure they were good to go and then activated all their accounts.

00:10:08 Speaker 3

And then did the teacher staff meetings and activated all of their accounts and that led us into.

We launched our full process June 15th and then we’ve now started to allow for field trips and so we are still offering probably one more support session and then we’re fully at the end of our.

Implementation, so we’re really kind of at the point where all all teachers are active.

All administrators are active.

00:10:37 Speaker 3

We have some assistants who are active depending on their role at the school.

And and we’re just at the point now where a lot of the.

00:10:48 Speaker 3

A lot of the international trips people are starting to submit those a lot of the athletic seasons.

We’re just getting those in right now.

00:10:57 Speaker 3

This week I’ve been working on a bunch of those from all of our sports coordinators and.

Probably more on the local build trip basis because we’re allowing that at the moment we’re just starting to get those requests coming in, so I wouldn’t say that we’ve worked out.

Kind of all the bugs, but we do.

We have launched all of the the in.

00:11:22 Speaker 3

City trips, so we’ve had.

00:11:24 Speaker 3

I’d say we probably had a good.

150 or so requests of those already processed at the school, and I don’t see a lot of those, so there could be even more. But that’s kind of where we’re at.

Kind of in our process and we have seven processes that Emily helped us to create, not just Emily.

We had a lot of.

Support from permission.

And and that, yeah, and I think our athletics package, I think, is are the one I’m most proud of because it’s very complex, but.

But yeah, and then just a bunch of optional forms as well and.

And it’s just so far what we’ve heard from teachers from staff from parents has just been phenomenal.

So it’s actually I actually thought we would have more issues coming into the school year and launching it full than we’re than I’m seeing.

And I’m I’m actually very pleasantly surprised so.

We’re pleasantly surprised too, so I did want to ask you, Christina, with regards to the permission click and bring it on board, and I really still were kind of at, you know, the beginning of this journey because of COVID kind of throws, a wrench in things, but.

Have you had any feedback from any of the staff?

Yeah, so our administrators love it.

They I have received email after email after email after phone call after teams call of people saying thank you thank you thank you.

The youth that they can just pop on and check really quickly or to have another administrator check that at the same time have the same ability to do that even in their absence.

Or, you know, the ability to just send a link to a parent and it’s right there and they have it back.

They are super thankful and it it honestly did exactly what I thought it would do and what I hoped it would do in making their lives easier.

And I know we’ve got bugs to work out, but.

So as far as our staff so far, I’ve mostly heard feedback from teachers and from administrators.

A lot of the the field trip requests other than just the in city, which one which I don’t see and I don’t hear parent feedback at the Division Office has been extremely positive.

But we also use permission click like in a different way for verification forms at our school which we only launched at the beginning of summer, and that’s me working directly with with the parents and those parents. I mean, we’ve probably decreased our workload, probably by 50%.

Which is amazing and the efficiency that we get it to them the ability for a legal signature right on their embedded and then also to be able to verify their.

Uhm their ID.

And send it off to them an email without all his face to face has sure.

I mean they’ve found it extremely easy and the assistants have found that extremely easy and so and that again, which is funny to me.

’cause usually tech goes the opposite way where you have more problems than you expect, right?

But I actually found it easier and I feel like.

I’m getting a great return.

And and I’m looking definitely at what else we can turn into digital forms at our at our division, and that’ll be, that’ll be this year what we do this year so.

Fantastic so the the other thing I wanted to ask, like with any of these software that are being used throughout the you know school division community.

Of course we want the user experience for administrators and teachers using this.

For it, but there’s always the other aspect too, and that’s the parents.

You know how the parents reacted to rolling this out.

Have you heard anything from from that side of the school division community?

Yeah, so I haven’t heard a ton just because of where we’re at in the process.

What I have heard has been very positive and honestly one of the reasons we chose permission click was the ability to translate.

We’ve got a.

Exploding number of ESL families who English is not their first language and these families are now starting to fill out these forms on their own without the use of somebody else, which is amazing.

Like we’re we’re tech teaching and we’re moving forward, and we’re enabling and empowering these families to do.

What they would love to be able to do in Canada?

And so the ability of that, the ability of it to to view in either your desktop web browser or mobile, and it looking the same both places.

And and just to be able to do like one click, you know, and they’re done.

We’re getting a higher response rate.

Teachers are not going to have to.

So so yeah, so far what I’ve received has been extremely positive and I haven’t even received anything to change, you know, we just threw that out there.

We’re asking for feedback and we’re not getting negative feedback yet, so.

Certainly I’m glad you brought up that point and all of our communities are becoming more diverse each year.

So yeah, the language component I hadn’t even mentioned yet, but thank you for bringing that up.

Is there any tips you would give somebody that’s considering moving from, you know, paper forms or the current processes they’re using to to move into something that’s more dish?

To be honest.

My tip would be to do it.

Of work that it’s saving and and we’re still doing that analysis here in our office.

Even with the verification forms that we’ve switched over, the amount of money that we’re saving.

I mean, just in time of staff members who were involved in that in that one process with that.

We’re we’re saving probably about $55,000 just on staff salary.

Yeah, it’s pretty wild, and that doesn’t even that doesn’t even take into account the field trip stuff yet.

It’s hard for me to like give other tips other than like it.

The amount that it’s going to save you.

I would, I’d just say just do it.

Awesome, that’s great advice and and certainly we’ve heard from other school division and district leaders throughout North America that.

But you know, using COVID as a way to really accelerate the use of technology in their school districts and divisions has been really top of mind and and not coming out of the pandemic feeling left behind.
